TERMS & CONDITIONS
Article 1 – General
These terms and conditions apply to all quotes, proposals, and agreements with Move Any Mountain, headquartered in Waregem, Belgium, company number BE 0649.550.701, hereinafter referred to as “Move Any Mountain.” Deviations are only valid if confirmed in writing.
Article 2 – Formation of the Agreement
An agreement is established once a quote is accepted orally or in writing by the client. If Move Any Mountain has already incurred expenses prior to formal confirmation, these may still be invoiced. Quotes are valid for one month unless stated otherwise.
Article 3 – Execution
Move Any Mountain commits to professionally executing the agreement, possibly with the involvement of third parties. Clients must provide accurate and timely information. Errors resulting from incorrect or late information are not our responsibility.
Article 4 – Changes
Any changes to the assignment must be mutually agreed upon. Any consequences regarding timing or costs will be communicated in advance.
Article 5 – Payment Terms
- Incentives & Weddings:
- 25% upon confirmation of the proposal
- 50% no later than 2 months before the event
- 25% within 14 days after the event
- + possible final invoice based on actual costs
- Private retreats:
- 100% payment in advance, within the agreed deadline
- Public retreats (as listed on the website):
- Full payment upon registration via the online payment system
Invoices must be paid within 14 days. Late payments incur interest of 10% per month, plus a flat-rate compensation of 10% (minimum €250).
Article 6 – Cancellation by the Client
Cancellation fees:
- Up to 4 weeks before the event: 50%
- Between 1–4 weeks: 70%
- During the final week or in case of no-show: 90–100%
Same-day cancellations will be charged in full, plus any external costs + 15% administration fee.
Article 7 – Liability & Insurance
Move Any Mountain is not liable for damage caused by:
- participants' own judgment errors or health conditions
- insufficient physical preparation
- acts by suppliers or third parties
- natural conditions or force majeure
Participation in retreats is at your own risk.
Each participant is personally responsible for their own safety and health during the program. We strongly recommend taking out personal travel and accident insurance that adequately covers activities such as hiking, e-mountain biking, cold water dips, and other physical efforts.
Article 8 – Promotional Material
The client grants permission to Move Any Mountain to use event media for promotional purposes, unless explicitly agreed otherwise.
Article 9 – Force Majeure
In the event of force majeure (e.g. extreme weather, pandemics, natural disasters, strikes), Move Any Mountain reserves the right to suspend or cancel the agreement without any compensation.
Article 10 – Disputes
All disputes fall under the exclusive jurisdiction of the courts of West Flanders, division Kortrijk. Belgian law applies to the agreement.
